Shipping Console Guide

Create shipments from a centralized view.

Introduction

If you frequently need to create multiple shipments at the same time or just want to see all your orders/cases/etc to be shipped from the same view then we recommend setting up the shipping console. This will provide a centralized place for all your shipments with different list views and filters, and even for multiple different objects.

NOTE: The Shipping Console is only available from v1.115 onward.

Shipping console functionalities:

  • Bulk editing - select one or more records and click Edit.
  • Bulk shipping - select one or more records and click Create Label
  • Printing - select one or more records with a booked shipment and click Print
  • Voiding - select one or more records with a booked shipment and click Void (not supported by all carriers)
  • Manifest - select one or more records with a booked shipment and click Manifest (not supported by all carriers)

Prerequisites

To be able to use the shipping console you need to first set up the shipping preferences and create the custom address source.

Create the Shipping Preference

You can find detailed information on setup in our Shipping Preferences guide.

Create the Custom Address Source

First you need to create a Lookup relationship to the object you want to ship from, then follow our CAS guide to complete the rest of the setup.

The following fields need to be filled in:

  • Sender details - if different from Preference defaults
  • Recipient Details
  • Product information for international shipments or if you want to generate packing slips
  • Shipping preference - this can be defaulted to a static value, as you will be able to select the correct shipping account from the console
  • Billing information
  • Special services - if required
  • Reference information - if required
  • Other required information by the carriers - ie. shipment description for UPS

Optional:

  • Packaging information - packaging details can be modified from the console

Set up the Shipping Console

1. Go to the Multi-Carrier app from the app launcher and click on the Shipping Console tab.

2. Create a new list view. Click on the gear icon and select New.

In this example we are going to use the Order object with a custom address source already set up in the previous step.

You can save the list view as it is or you can also set up your filter logic here. For example, if I only want to display orders where the recipient's country is the United States or Canada, I can add the following criteria:

Or in a different example, I can display the orders created after a certain date with a value larger than 1000:

You can also create multiple list view for the same object/same CAS.

Customize your list view

You can customize the list view to show any field on your object. This can help you with filtering and selecting the correct records to ship.

Click on the gear icon and select Columns. By default there are a few columns already loaded, such as the record number and service type.

In the popup window you can add or remove columns from the list view. We recommend adding Carrier and Preference Name to your view.

It is also possible to rearrange the order of the columns by moving the column names up or down the list.

Please note, that the Status column cannot be removed as this column is used to ship if the shipment is booked successfully and also to display any error messages that might occur.

Shipping in Bulk

Once your list view is configured and all filters are applied it is possible to bulk edit some or all records on the list view and then also create the shipments in bulk. In the next few sections we are going to walk through some common shipping scenarios using the Order object.

Once you are done with shipping you can also refresh the list view without refreshing the entire screen by clicking on the refresh button.

Creating domestic shipments with a single carrier

In this example we are going to create shipments for US domestic orders using a single FedEx account. In my list view I configured to only see orders where the shipping country is US or United States.

On this occasion I want to ship all my orders with my US FedEx account and using FedEx Ground service. Select all records by checking the checkbox at the top then click Edit.

In the popup select the carrier.

Select the shipping account.

Select the packaging type.

Select the packaging type.

You can also set a unified weight and package dimensions, and declared value. If these are left blank then the default values will be taken from the custom address source or if there are no default values for dimensions they will be left blank.

Save your changes. You will now see the list with the updated values marked in yellow.

If you are ready to ship click on Create label. You will see the shipment statuses in the Status column.

If the shipments are successful the status will show Booked and the shipment will be linked under the Shipment column. In case of any issues the error message will be displayed in the Status column. If the error message is too long you can hover over it to see complete error.

Creating domestic shipments with multiple carriers

In this example we are going to create shipments for US domestic orders using UPS and DHL accounts.

Let's say I want to ship some of my orders using UPS Ground and some using DHL Domestic Express.

First, select the records you want to ship with UPS and click Edit.

In the popup select the carrier.

Select the shipping account.

Select the packaging type.

Select the packaging type.

You can also set a unified weight and package dimensions, and declared value. If these are left blank then the default values will be taken from the custom address source or if there are no default values for dimensions they will be left blank.

Save your changes. Repeat the same steps for DHL.

Save your changes. You will now see the list with the updated values marked in yellow.

If you are ready to ship click on Create label. You will see the shipment statuses in the Status column.

If the shipments are successful the status will show Booked and the shipment will be linked under the Shipment column.

In case of any issues the error message will be displayed in the Status column. If the error message is too long you can hover over it to see complete error.

Creating international shipments with a single carrier

In this example we are going to create shipments for international orders using a single UPS account.

Let's say I want to ship my orders using UPS Express Saver. Select the records you want to ship and click Edit.

In the popup select the carrier.

Select the shipping account.

Select the packaging type.

Select the packaging type.

You can also set a unified weight and package dimensions, and declared value. If these are left blank then the default values will be taken from the custom address source or if there are no default values for dimensions they will be left blank.

Save your changes. You will now see the list with the updated values marked in yellow.

If you are ready to ship click on Create label. You will see the shipment statuses in the Status column.

If the shipments are successful the status will show Booked and the shipment will be linked under the Shipment column. In case of any issues the error message will be displayed in the Status column. If the error message is too long you can hover over it to see complete error.

Creating international shipments with multiple carriers

In this example we are going to create shipments for international orders using UPS and DHL accounts.

Let's say I want to ship some of my orders using UPS Express Saver and the rest with DHL Worldwide Express P. Select the records you want to ship with UPS and click Edit.

In the popup select the carrier.

Select the shipping account.

Select the packaging type.

Select the packaging type.

You can also set a unified weight and package dimensions, and declared value. If these are left blank then the default values will be taken from the custom address source or if there are no default values for dimensions they will be left blank.

Save your changes. Repeat the same steps for DHL.

Save your changes. You will now see the list with the updated values marked in yellow.

If you are ready to ship click on Create label. You will see the shipment statuses in the Status column.

If the shipments are successful the status will show Booked and the shipment will be linked under the Shipment column. In case of any issues the error message will be displayed in the Status column. If the error message is too long you can hover over it to see complete error.

Label printing

Once the shipments are successfully created you can print the labels for the selected shipments.

If you already installed and configured our printing app then you will see the list of available printers in the popup.

Select the printer and tray then click print.

Shipment voiding

If you no longer need a shipment that was created you can also void these shipments from the console.

In the popup confirm if you want to void the selected shipments.

Manifest

Some carriers require an end of day manifest. Select the records and click on Manifest.

In the popup select the details of the manifest.

Click on calculate shipment count.

Once the shipment count is calculated click on manifest.

Mark a record as shipped

If you only want to create one shipment for each record then it is recommended to set up a filter to remove records from the list view with a shipment. This can be achieved in multiple ways, here we are going to walk through some common examples.

Update the original record once the shipment is created

You can create a new custom checkbox field on the original object, with a descriptive label like Shipped and set up the Update original object after ship success section of the CAS.

Now add this new criteria to the list view filters.

Generate packing slips

Similarly to our other available shipment creation methods packing slip generation is available in the shipping console as well. However, they need to be generated via the invocable method. You can find the setup process in our packing slips setup guide.
